Residential Letting and Management
Grant & Wilson Ltd operate a specialist Residential Letting Department to cater for the leasing and management of all types and sizes of property. Our service is completely flexible and geared to suit individual needs. We make sure that clients are kept fully informed at all stages of the rental and management of their property.
Our management service includes:
- Viewings with tenants
- ;Obtaining deposits and completion of application forms;
- Checking tenants references and obtaining landlord's consent to let
- ;Drawing up leases and compiling inventories;
- Checking the property at the end of a lease;
- Routine visits to property;
- Organising repairs;
- Collecting rent.
Potential Tenants Letting Procedures
Viewings
You can call or e - mail us for further information on the properties we have available to rent and to arrange a suitable day and time to view the property. We understand that you may have other commitments, however we will try our best to accommodate you with our flexible viewing times.
Holding Deposit After viewing the property and deciding that it is right for you, a reservation deposit of one months rent has to be paid by cash or card to secure the property. Once the deposit is received, we will remove the property from the market and place a hold on advertising and viewing's until the application process is completed. If you decide to change your mind £100 plus V.A.T is retained from the reservation deposit for administration costs. You can pay your reservation deposit over the phone by card payment or at our offices.
Application Process
All potential tenants who will be occupying the property must complete an application form to allow us to obtain references from employers, previous landlords and personal referees. Students and housing benefit claimants are required to provide a Guarantor who is in full time Employment.
We require the following documentation to to process your application:
- Tenancy Application form to be completed in full and signed. One form of photographic identification e.g. passport or driving licence. Proof of address e.g. recent bank statement / utility bill / current wage slip (if employed) Reference from current / previous landlord / employer and a character reference.
- Guarantor's proof of address and current bank details.
Once your application has been processed and all references have
been approved, you can expect to sign your Lease Agreement within the following seven days.
Guarantor
In certain circumstances a Guarantor may be required (in the case of student tenancies, it is essential that a Guarantor is provided). Guarantor’s will need to complete the guarantors section on the application and supply proof of address and bank details. The guarantor will be contacted to confirm they understand the terms of being a guarantor.
Lease Agreement
All tenants over the age of 18 will be named on the Lease Agreement and will need to be present in the office to sign the Lease Agreement. The agreement will be a Short Assured Tenancy Agreement, for a fixed term of no less than 6 months which sets out both Landlord and Tenants responsibilities. Should you have any queries regarding your lease agreement this can be discussed at the time of signing the lease. Two months before your Lease is due to expire; we will give you an option to request a renewal of your Lease for a period between 1 and 6 months as mutually agreed between landlord and tenant.
Insurance
Tenants are responsible for arranging contents insurance for their personal possessions. The landlord is responsible for the building insurance and the contents listed on the inventory.

Completion of Lease Agreement
Once a move In date has been agreed, we shall advise you how much you will have to pay on the day of signing your Leasing Agreement, generally this is one months rent in advance.
Once the Leasing Agreement is signed and all the relevant paperwork has been completed satisfactorily, each Tenant will be issued with a copy of the Lease and tenant information pack and a set of keys to the property secured in the agreement.
Relevant information for New Tenants
Listed below is our letting procedures, once you have taken tenancy of your new home:
Inventory
At the time of signing your Lease Agreement you will be given a full inventory of the property. Inventories: Record the contents and condition of the property at the time of you taking tenancy of your new home. We require inventories to be checked as soon as possible, if you find any defects or have any comments regarding the condition of the property any defects should be marked on the inventory and a copy returned to our Letting Department within seven days of the date you receive your keys. Changes to the Inventory will be addressed and a new copy will be placed within your file. It is important that you keep your inventory in a safe place, as this is an important record for Tenants and Landlords alike.
Rent
All rents are paid by Direct Debit on the 1st of each month. At the time of signing your Leasing Agreement, you will be expected to sign a direct debit form for the full amount of the your rent. This method of rent payment ensures regular, on-time payments and protects you against a potential bad payment history.
Other Payments
Grant & Wilson Property Management Limited will notify the relevant Utility companies and Council Authority of you being the new tenant. It is your responsibility to pay all utility accounts, council tax and water charges and TV Licences.
Property Visits
We inspect your property every 3 months, and will write to you giving a date and time of our visits. The purpose of the visit is to ensure that the property is in a maintenance free condition and to ensure that the property is kept to a satisfactory standard and condition. The visit will normally take less than 30 minutes.
Faults & Repairs
If you have any faults or repairs to the property, you must contact us immediately. Failure to do so may mean that you are held responsible for any further deterioration as a result of the delay. We will contact the landlord or instruct Contractors to attend to the repair. If the cause of the damage is due to negligence then you will be responsible for the cost of the repair .If out of standard office hours you can contact out 24hour Emergency number on: 0141 552 2230 You must state you are a tenant and give the full address and postal code.Smoke/Fire & Carbon Monoxide Detectors
All smoke / Carbon Monoxide Detectors are to be maintained by the tenant, you are obliged to ensure they are checked regularly and are in good working order. This is for your own safety. We recommend a daily check; however, they must be checked at least once a week.
Gardening
If your property has a garden it is your responsibility to ensure the lawns are cut regularly and the borders are kept weed-free. In addition, the gardens must be kept tidy and free from refuse.
Empty Property
If you are going to be away from the property for more than 4 weeks at any one time you must contact us to advise. This is so we can ensure the property is looked after in your absence and deal with any problems that may arise on your behalf.
Vacating
You must vacate the property on the agreed date, after giving us 2 months written notice.
You will receive a final check-out inspection time, where a Letting Co-Ordinator will meet you at the property to carry out the final hand over. At this time you must ensure that all your personal belongings are removed from the property and it has been cleaned and returned to its original condition when you first took tenancy of the property. We will contact the utility companies and council tax office to advise that you have vacated and give them your forwarding address.
Deposits Return
Your deposit will be held in a deposit account throughout your tenancy and is refundable within seven days of you vacating the property providing that the following have been clarified::
- The property has been left in a satisfactory conditionAll utility/ council tax accounts have been paidAll rents are paid up to date
- The inventory is accurate and all items present and in good condition.
You can not use the deposit as payment for the last month’s Rent
